Job Title: Purchase Ledger Officer
Location: Sedbergh School
Responsible to: Payments Manager
Contract Type: 30 hours per week, Permanent
Salary: £17,160 per annum
Sedbergh School is seeking a Purchase Ledger Officer to join their finance team.
Working alongside the Payments Manager, the Purchase Ledger Officer will ensure that the Ledger is maintained and process deadlines are met. The successful candidate will be confident in ensuring suppliers are paid in accordance with agreed terms and conditions.
The Purchase Ledger Officer will ensure good internal control with respect to the Purchase Ledger function. For example, invoices are signed off by the appropriate signatories, coded correctly and any recharges identified.
Person Specification:
*Accounting purchase-ledger experience.
*A strong customer service focus, and ability to build effective working relationships with employees and external suppliers.
*The ability to work effectively in a busy team environment.
*The ability to work under pressure and to deadlines.
*High attention to detail and an orderly approach to processing.
*Expense-claim processing knowledge and understanding.

Duties and Key Responsibilities:
*To maintain the Invoice/Purchase Order signatory list and issue periodic updates to budget holders.
*To ensure all invoices and expense claims are correctly calculated, approved and coded. Ensure expense claims comply with the expenses policy.
*Maintain adequate records of pro-forma invoices issued and chase up associated invoices.
*Investigate and resolve purchase ledger queries as required.
*To reconcile supplier statements to supplier purchase ledger accounts.
*Processing supplier, ad-hoc and expense payments as and when required, confirming payments with a remittance advice.
*To raise cheques for suppliers who don’t accept BACs payment.
*Ensure prompt filing of supplier invoices.
*To liaise with suppliers concerning invoice queries.
*Keep supplier details up to date with any changes.
Health & Safety
The Purchase Ledger Officer must be fully conversant with the School’s Health & Safety Policy and report any breaches of the policy to their Line Manager.
Reporting
The Purchase Ledger Officer will report directly to the Payments Manager. However, the successful candidate will also need to contact and liaise with budget-holders for authorisation of invoices, as well as working closely with employees at all levels within the organisation.

Due to continued growth and success, Sedbergh School is now seeking full time and part time Assistant Houseparents (AHSMs) to join our busy boarding community. The role of Assistant Houseparent at Sedbergh is purely pastoral, underpinning the provision of outstanding welfare support for pupils in the House, in support of the Housemaster/Housemistress. The key responsibilities of the role are as follows:
- Primarily, the AHSM will provide direct support to pupils and staff, assisting with managing all aspects of the health, welfare and pastoral care of pupils, adhering to relevant school policies at all times;
- Secondly, the AHSM will provide support for the Housemaster/Housemistress with a wide range of administrative duties relating to pupils and their parents;

We are looking for hardworking individuals with a passion for building and maintenance work to assist with the building and repair work at our excellent campus in Sedbergh.
The ideal candidate will be confident to carry out general building work and maintenance, including construction work to school properties. To ensure that all work undertaken is completed with due regard for timescales, cost, quality, productivity, good communications and in line with health and safety requirements.
Main Duties & Responsibilities
General Building Work
- To undertake general building work on all school properties as necessary, including any repairs or modifications.
- Perform maintenance and light repairs throughout the School
- To undertake general building new works, maintenance & repairs
- Undertake duties as assigned or emergency tasks (e.g. gritting or shovelling snow) and support to the grounds staff
- Identify, report the need for minor and major repairs followed by action to resolve
- Carry out maintenance works posted on the helpdesk and as directed by the Clerk of Works and Maintenance and Helpdesk Supervisor;
- To liaise with the Heads, Senior Management Team and other members of staff within the school and report any matters as necessary to the immediate line manager.

Health and Safety
- Ensure that routine housekeeping of the work areas around the school, the workshops and vehicles; keeping them clean, tidy, safe and legal.
- Ensure the safe security and upkeep of tools and equipment, including the maintenance of any relevant records.
- Ensure that all work is performed in accordance with the requirements of Health and Safety and other relevant legislation.
- Ensure that Risk Assessments are undertaken, documented, adhered to and regularly reviewed.

Skills, Knowledge and Experience
The following are essential criteria:

- A minimum of three years relevant work experience.
- A minimum qualification of at least an NVQ Level 3 or equivalent in general building, preferably having served a general building apprenticeship.
- An understanding of health and safety management, including risk assessments to ensure all activities are carried out in a safe way.
- Excellent interpersonal and communication skills in dealing with staff at all levels.
- The ability to prioritise workload and manage competing deadlines/demands and use initiative in a variety of situations to manage the client (school) expectations.
- Up to date training in manual handling, safe use of powered machinery, working at heights (ladder, scaffold and MEWP) and COSHH.
- The ability to maintain accurate records to ensure compliance with all statutory and non-statutory regulations and guidelines.
- Physically fit to stand, bend, lift and carry heavy goods in accordance with the manual handling requirements of the role.
- Flexible, likes working in a team and able to work on their own initiative.
- To have a working knowledge of IT systems in order to use basic Microsoft Office tools and access and update jobs generated by the Maintenance Helpdesk and use the School Hub
- Full driving licence – the post will require some driving
